Enhancing Authority: 9 Phrases I am Retiring from My Professional & Business Emails

Writer: Mimi LuciMimi Luci

Hey there! I'm Luci, a Christian Writer and blogger, and I'm super excited to share something that has been on my mind lately. 😊 In today's fast-paced digital world, effective communication is absolutely essential, especially in professional settings. That's why I've been reflecting on the phrases I use in my work emails that may unintentionally undermine my authority. I invite you to join me on this journey of self-reflection and transformation as I share nine phrases I'm retiring from my own emails, along with alternative ways to express myself. Let's dive in and discover how small changes in our language can make a significant impact on our professional image. 💪🌟

1. "So sorry for the delay" → "Thanks for your patience" 🙏:

Instead of apologizing for a delay, I've realized it's more effective to express gratitude for the recipient's understanding and patience. This subtle shift emphasizes my appreciation for their cooperation while maintaining a professional tone. 💼🕰️

2. "What works best for you?" → "Could you do…?" 🤔:

I've learned that seeking permission or guidance can inadvertently diminish my authority. Instead, I present my suggestions as proposals, demonstrating assertiveness and confidence in my recommendations. 💡👍

3. "No problem/no worries" → "Always happy to help" 😊:

Though it may seem polite to downplay the assistance I provide, it can inadvertently diminish my authority. So, I emphasize my willingness to assist and showcase my commitment to supporting others. 🙌🤝

4. "I was just wondering if we..." → "I propose we..." 💭📝:

To avoid sounding uncertain or hesitant, I now confidently present my ideas and suggestions as proposals. This change in language positions me as a proactive and authoritative contributor to the conversation. 💪💼

5. "I hope this looks ok" → "I look forward to your feedback" 🤞📩:

Instead of seeking validation, I express eagerness to receive feedback. This demonstrates confidence in my work and invites constructive criticism, fostering a more productive and collaborative environment. 📝✉️

6. "Hopefully that makes sense?" → "Let me know if you have questions" 🤔❓:

I've learned to avoid seeking reassurance about the clarity of my message. Instead, I encourage open communication by inviting questions and clarifications, reinforcing my role as a reliable and knowledgeable resource. 📣💬

7. "Just wanted to check in" → "When can I expect an update" 📅📞:

To avoid sounding passive or unsure, I now clearly communicate my expectations and deadlines. This demonstrates my proactive approach and ensures everyone is on the same page regarding progress updates. 📆📊

8. "Ahhh sorry my bad, totally missed that" → "Thanks for letting me know" 🙏📌:

I've replaced self-deprecating phrases with expressions of gratitude for feedback. This shift maintains professionalism and acknowledges others' contributions without undermining my own authority. 💼🤝

9. "So sorry to bother you but…" → "I wanted to discuss…" 👋💬:

Instead of minimizing the importance of my request, I now confidently express my intention to discuss a matter. This approach conveys respect for the recipient's time while asserting the significance of my communication. 🗣️💼

Language holds immense power, shaping perceptions and influencing how others perceive our authority. By recognizing and replacing phrases that undermine our professional image, we can communicate with clarity and confidence. I encourage you to reflect on your own language choices and consider whether you find yourself using any of the phrases I mentioned.
